Regulations of the Recovery Zone with Residential Area NAMI Medical Resort & Clinic

The Regulations define the rules related to the stay at NAMI Medical Resort & Clinic and the organization and order of the process of providing healthcare services by the medical entity Invicta spółka z o. o., based in Sopot, Poland as part of NAMI Recovery Zone, which is a facility that provides healthcare services. The provisions of the Regulations apply both to Patients who make bookings or purchase services directly at NAMI, as well as to Patients who make reservations in writing, via the website or by telephone.

§ 1 Definitions and General Provisions

  1. NAMI – NAMI Medical Clinic and Resort, located at Polna 64, Sopot – a healthcare facility operated by Invicta Sp. z o.o., part of the Invicta Research and Development Center.
  2. Invicta Research and Development Center / RDC – a separate organizational unit of Invicta Sp. z o.o., dedicated to conducting research and development activities.
  3. European Family Center / EFC – a specialized medical facility offering medical services and conducting research and development, particularly clinical trials, genetic studies, diagnostics, and fertility disorder therapies.
  4. Patient – an individual who reserves or utilizes services at NAMI, participates in preclinical or clinical studies, undergoes treatment or post-treatment recovery, or engages in other RDC projects, responsible for fulfilling contractual obligations, including payment and providing accurate personal data.
  5. Accompanying Person – a Patient’s partner, family member, or adopted person staying at NAMI whose presence is essential for comprehensive diagnostics and therapy, particularly within research and development activities.
  6. NAMI Guest – a Patient or an Accompanying Person.
  7. Services – medical, accommodation, catering, and other services provided by NAMI as part of the Medical Package.
  8. Medical Package – a set of medical services, including services provided under research and development activities, which includes the right to accommodation at NAMI.
  9. Child Protection Policies – regulations and procedures concerning the protection of children from harm, governed by the “Policy and Procedures for the Protection of Children from Harm” (INV.Z.08.PP.P.01).
  10. Video Surveillance Regulations – monitoring practices are defined in the “CCTV Video Surveillance Regulations” (INV.W.14.KIT.I.08).
  11. Research and Development Activities – research and development conducted at NAMI, including the use of data collected through NAMI’s operations.

§ 2 Rules of Order

  1. Rooms at NAMI are available as part of a Medical Package.
  2. Check-in at NAMI begins at 4:00 PM; check-out is by 12:00 PM on the following day.
    The length of stay depends on the selected Medical Package.
  3. Early arrival does not guarantee room availability.
  4. NAMI accommodations are intended for individuals aged 16 and over.
    Persons under 16 may stay only if their presence is essential for the Patient’s diagnostics and therapy within research and development activities.
  5. Animals are strictly prohibited on NAMI premises, regardless of species or breed, to ensure the comfort and safety of Guests and animals.
  6. Guests may not transfer their room to another person.
  7. Guests may only slightly rearrange furniture or equipment if it does not affect functionality or safety; no other modifications are permitted.
  8. NAMI is not liable for the loss or damage of money, valuables, documents, or items of scientific or artistic value.
    A safe is available in each room for Guests’ use.
  9. Guests must promptly report any damages to the reception.
  10. Guests are materially liable for any damages or destruction caused by themselves or their visitors.
  11. NAMI is not responsible for damage to or loss of vehicles, items left in vehicles, or animals, whether vehicles are parked on NAMI premises or elsewhere.
  12. For fire safety reasons, using candles, heaters, and any unauthorized electrical devices in rooms is strictly prohibited.
  13. NAMI reserves the right to inspect the technical condition of rooms once every 24 hours.
  14. Quiet hours are in effect from 10:00 PM to 6:00 AM.
  15. Violation of these Regulations may result in the refusal of further services. The Guest must comply immediately and cover any resulting costs.

§ 3 Bookings and Payment

  1. A reservation constitutes an offer to conclude a contract, pending the advance payment.
    Reservations may be made in writing, verbally, or by telephone.
  2. Reservation confirmation requires an advance payment, as specified in the reservation confirmation, to be made within two days of booking. Payment can be made via a dedicated quick payment link or a traditional bank transfer.
  3. The balance must be paid no later than on the day of arrival.
  4. Cancellations made at least 14 days prior to arrival are free of charge. Later cancellations will result in the forfeiture of the advance payment.
  5. If the Patient fails to appear on the scheduled start date, cancellation fees apply.
  6. Failure to use any part of the Medical Package does not entitle the Guest to a price reduction.
  7. In exceptional cases, NAMI may agree to alternative terms, including rescheduling services.
  8. Requests for invoices must be made in advance, with the necessary details provided.

§ 4 Complaints

  1. Patients and Accompanying Persons may file complaints regarding service quality.
    Complaints should be submitted immediately after noticing any shortcomings.
  2. Written complaints are accepted at the reception.
  3. Complaints will be processed promptly. In the event of disputes, the provisions of the Civil Code shall apply.

§ 5 Additional Provisions

  1. Smoking of tobacco or other substances is strictly prohibited in all areas of NAMI, including rooms, in accordance with Polish health protection legislation.
    Violation will result in a 1,000 PLN fee for deodorization, plus potential costs related to Fire Department intervention.
  2. Smoking is only permitted in designated smoking areas.
  3. Parking is free of charge and available only to Patients and Accompanying Persons, subject to prior notification.
  4. Hazardous materials, firearms, ammunition, flammable, explosive, or pyrotechnic items are strictly prohibited.
  5. Personal belongings left in rooms will be returned at the Guest’s expense if requested. Without such a request, NAMI will store the items for one month before disposal.

§ 6 Medical Services – Patient’s Rights and Obligations

  1. Patients are entitled to rights outlined in applicable laws, including the Act on Patient Rights and the Patient Rights Ombudsman of November 6, 2008.
  2. The “Patient Rights Charter” (INV.Z.08.DM.Z.03) outlines the rights of Patients at NAMI.
  3. The “Patient Rights Charter” is available at the reception.
  4. Patients and Accompanying Persons must:
    • Comply with all applicable regulations and procedures;
    • Observe all prohibitions in force at NAMI;
    • Maintain personal hygiene;
    • Follow safety, hygiene, and fire protection rules;
    • Carry an identity document;
    • Respect NAMI property.

§ 7 Recovery Zone – General Provisions

  1. Patients and Accompanying Persons may access the Regeneration Zone.
  2. The Regeneration Zone is open daily from 7:00 AM to 9:00 PM.
  3. Facilities include treatment rooms, a gymnasium, a fitness center, a cryochamber, a hyperbaric chamber, a pool area, saunas, and common areas.
  4. The following are prohibited within the Regeneration Zone:
    • Smoking, consuming alcohol;
    • Running in corridors or common areas;
    • Eating food within the Zone;
    • Walking without appropriate footwear;
    • Damaging equipment, using mobile phones.

§ 8 Rules for the Use of Medical Services

  1. Patients must attend appointments as scheduled.
  2. Patients consent to physical therapy treatments after disclosing any conditions that may affect the therapy.
  3. Patients must comply with medical and physiotherapeutic instructions.
  4. Any discomfort must be immediately reported to the physiotherapist.
  5. Absence or tardiness may result in missed or shortened sessions.
  6. Patients must be courteous to staff and other Patients.
  7. Proper attire is mandatory during treatments (details available at reception).
  8. Clean indoor footwear must be worn.
  9. Orderliness and hygiene must be maintained.
  10. Patients must not operate medical or heating devices.
  11. NAMI staff may enforce these Regulations.

§ 9 Rules of Using the Swimming Pool Area

  1. The pool area is available to Patients and Accompanying Persons from 7:00 AM to 1:00 PM and from 3:00 PM to 9:00 PM.
  2. The use of mobile phones and recording devices is prohibited within the pool area.
  3. The area is monitored by CCTV.
  4. It is prohibited to use towels from guest rooms in the pool area. Pool towels are available from the lifeguard.
  5. Guests must comply with the instructions of pool staff, who are authorized to address any non-compliance.
  6. Before entering the pool area, users must:
    • Change into clean beach footwear;
    • Leave outer garments in the cloakroom;
    • Change into appropriate swimwear.
  7. Swimwear for women may be either one-piece or two-piece.
  8. The use of a swim cap is recommended.
  9. Guests must familiarize themselves with these Regulations and the instructions for pool attractions before entering the pool area and must comply with them during their stay.
  10. All guests must shower before entering the pool area and after using the restroom.
  11. It is strictly prohibited to bring food, drinks, sharp objects, or glass items (including cosmetics in glass packaging) into the pool area.
  12. Persons in poor health, impaired fitness, or women who are pregnant should use the pool with particular caution and according to their condition. NAMI shall not be held liable for any health consequences resulting from the use of the pool.

§ 10 Rules of Using the Sauna

  1. Patients and Accompanying Persons use the sauna at their own risk and responsibility.
  2. Only individuals without medical contraindications may use the sauna.
  3. The following individuals are particularly prohibited from using the sauna:
    • Persons with heart disease, hypertension, vascular disorders, internal inflammation, fever, thyroid diseases, epilepsy;
    • Pregnant women;
    • Minors under 18 years of age, unless accompanied by parents or guardians, at their own risk;
    • Persons under the influence of alcohol or other intoxicants.
  4. Using the sauna after a heavy meal is not recommended. Entering the sauna while stressed or exhausted is also discouraged due to potential heart strain.
  5. NAMI does not accept liability for health outcomes related to sauna use.
  6. The sauna operates under a “textile-free” policy. Guests should expect the presence of partially or fully unclothed users.
  7. A personal towel must be used to sit and place one’s feet on.
  8. The towel must fully separate the body from the wooden surfaces.
  9. Before entering the sauna, users must thoroughly wash with soap and warm water and dry themselves completely.
  10. Contact lenses, glasses, and metal objects must be removed before sauna use to avoid burns.
  11. It is forbidden to touch or tamper with heating devices, pour water or oils on the stove.
  12. No objects may be placed near or on the stove, particularly water buckets intended for pouring over the stones.
  13. The use of creams or ointments during or after sauna use is prohibited as it hinders perspiration.
  14. Physical exertion during and immediately after sauna use is not recommended.
  15. After sauna use, a 20–30 minute rest period is recommended.
  16. In case of feeling unwell while using the sauna, one must leave immediately and inform the staff.

§ 11 Rules of the Gymnasium and Weight Room

  1. The gymnasium and fitness facilities are available to Patients and Accompanying Persons.
  2. The gymnasium is open from 7:00 AM to 9:00 PM.
  3. By using the facilities, individuals declare that they have no health contraindications for physical exercise and do so at their own risk.
    Persons with health issues should consult a doctor before engaging in physical activity.
  4. Group classes are available to selected Patients and Accompanying Persons based on their purchased package/service.
  5. During organized group classes, individuals not enrolled in those classes may not use the gymnasium or fitness facilities.
  6. It is forbidden to use damaged or malfunctioning equipment.
  7. After using mats, equipment, or accessories, users must disinfect them and return them to their designated places.
  8. Late arrivals may be refused entry to group classes.
  9. The consumption of food, alcoholic beverages, or intoxicants is prohibited within the gymnasium area.
  10. Proper footwear (indoor shoes or clean socks) must be worn.
  11. Any accidents, injuries, or sudden illnesses must be immediately reported to the staff.
  12. Guests must maintain personal hygiene and cleanliness and ensure proper use of sports equipment.
  13. NAMI is not responsible for personal belongings left in the gymnasium or fitness area.

§ 12 Personal Data Protection

  1. NAMI processes Guests’ personal data (such as name, email address, phone number, date of birth, ID number, vehicle registration number, stay dates, and special preferences) primarily for the purpose of service provision.
    The purposes and legal grounds for processing personal data are detailed in the “Information on Personal Data Processing for Patients, Clients, and Contractors” (INV.Z.20.IOD.F.01).
  2. NAMI is not liable for photographs taken within the facility and shared online by third parties unaffiliated with NAMI.

§ 13 Final Provisions

  1. Signing the registration card upon check-in confirms the Guest’s acknowledgment and acceptance of these Regulations.
  2. In matters not regulated by these Regulations, the provisions of the Civil Code shall apply.
  3. The Regulations come into force on the date of issuance by the President of the Medical Entity.
  4. All employees of the Medical Entity are familiarized with the content of these Regulations.
  5. The Regulations are available to Patients at the reception desk.
  6. Any amendments to the Regulations will be made in writing and communicated to employees, Patients, and Accompanying Persons.
